How to plan a romantic room surprise in Johannesburg

From choosing the room to the moment the door opens: a practical guide for proposals, birthdays and anniversaries.

A room surprise comes down to one moment: the door opens and the whole room has been transformed for one person. Getting there takes some planning, though. Whether it's a proposal in a Sandton hotel or a birthday at home, here's how to pull it off without the stress.

1. Decide what you're celebrating

The occasion decides everything else: the colours, the message on the banner and how far you go. A few common directions:

  • Proposal or "Will you be my girlfriend": soft pinks and whites, a message banner and rose petals leading up to the moment.
  • Birthday: their name or age on the banner, gold and black or their favourite colour, and space for the cake and gifts.
  • Anniversary: deep reds, candlelight, roses and photos of the two of you.
  • Just because: smaller and softer, and often the one they remember most.

2. Choose the room and sort out access

Most room surprises happen in one of three places, and each needs its own bit of planning.

A hotel room

Phone the hotel first and check two things: that they allow balloons and décor in the room, and how the setup team will get in before you arrive. Usually you check in early under your name and hand over a key card, or arrange with reception to let us in. Ask about candles too. Many hotels don't allow open flames, so battery tea-lights may be the way to go.

An Airbnb or guesthouse

Read the house rules and message the host before you book the décor. Some don't allow confetti, petals or anything stuck to the walls. Better to find out now than lose your deposit.

Your own home

The challenge here is getting them out of the house. Plan a lunch, a spa appointment or an errand with a friend so the setup team has the space and time they need.

3. Get the timing right

Work backwards from the moment you'll walk in. The room has to be empty while it's being set up, so build that time into your day. Weekends and the week around Valentine's Day are the busiest times for surprises in Joburg, so lock in your date before you plan the rest of the evening.

5. Add a gift they can keep

Balloons come down after a day or two, but a gift stays. Pair the room with something they can take home:

6. Plan the reveal itself

The setup is our job. The moment is yours, and a few small things make a big difference:

  • Start filming before the door opens. You only get the first reaction once.
  • Switch off the main lights and let the candlelight do the work.
  • Have a song queued on your phone.
  • Ask them to close their eyes at the door, then walk them in.
  • If you're proposing, know where you'll stand, and keep the ring in your pocket rather than a bag.

As early as you can, especially for weekends and around Valentine’s Day. Send us your date on WhatsApp and we’ll confirm availability.

Can you set up in a hotel room?

Yes, as long as the hotel allows décor and we can get into the room before you arrive. Check with the hotel first and arrange access for the setup team.

Can I choose what the banner says?
